KSL Clinic Policies

Consultation Cancellation Policy:

  1. KSL Clinic has retained a £25 refundable deposit which will be returned upon attending your consultation.
  2. Please note that as stated during the booking process, deposits will not be refunded in the event of non-attendance, or if consultations are rescheduled within 48 hours of the appointment.
  3. You will receive a text message reminder 2 days before your appointment, please reply to the text to confirm your attendance by 14:00. At KSL Clinic we guarantee 80% regrowth of your transplanted hairs, if we do not deliver this, we will carry out a second procedure to achieve the percentage.

KSL Clinic Referral Program Terms & Conditions:

  1. How to Participate: To refer a friend, simply have them mention your name when booking their consultation at KSL Clinic. You can also send the referral details to our email at partners@kslclinic.co.uk. Once your friend mentions your name, you’ll receive an email confirmation and can track their progress from your side.
  2. Eligibility: Both the referrer (existing patient) and the referee (new customer) must be at least 18 years old to participate in the referral program.
  3. Rewards: The referrer will receive £150 once the referee purchases a hair transplant and completes their surgery.
  4. Non-Transferable: Referral rewards are credited directly to the referrer’s account and cannot be transferred. They are only redeemable by the referrer.
  5. Multiple Referrals: Referrers can refer multiple friends and earn rewards for each successful referral.
  6. Referral Timing: Referral details must be provided at the time of booking a consultation when asked “How did you hear about KSL?”. Claims for rewards cannot be made retroactively and must be submitted within 30 days of the completed surgery.
  7. Termination: KSL Clinic management reserves the right to modify or terminate this referral program at any time without prior notice.

Summer PRP Promotion Terms & Conditions (*EXTENDED):

  1. Procedure Completion: The procedure must be completed on or before 31st August 2025 (*extended to 14th September 2025).
  2. PRP Treatments: All PRP treatments included in the offer must be redeemed within 12 months from the date of your procedure.
  3. Eligibility: This offer is valid exclusively for new procedure bookings from 1st June 2025, it cannot be applied to previous bookings.
  4. Non-Transferable: Treatments received under this offer cannot be combined with any other promotional offers or discounts and are non-exchangeable and non-refundable for cash.
  5. Amendment Rights: KSL Clinic reserves the right to modify these Terms and Conditions at any time without prior notice. Changes will be effective immediately upon their publication unless otherwise specified.
  6. Included PRP Bookings: Hair Transplant procedures include 3 PRP sessions, Facial Hair procedures include 2 PRP sessions and Eyebrow procedures also include 1 PRP session.

KSL Clinic Terms of Business

Procedure Quotes:

KSL Clinic may review their pricing annually. Any changes in pricing will be communicated to patients via email and the company reserves the right to amend quotes in line with new pricing, post a consultation date, when a procedure has not been booked and secured with a deposit on any current pricing.

Medical Procedure:

  1. All medical procedures are carried out by a qualified surgeon and their medical team.
  2. Hair loss is recognised as a medical condition and our procedures are intended to support health, self-esteem and well-being.
  3. Patients consent to meeting their surgeon on the day of their procedure.
  4. While every effort is made to accommodate patient preferences regarding surgeon selection, KSL Clinic cannot guarantee a specific surgeon. In the event of unforeseen circumstances, another equally qualified surgeon may be assigned.
  5. All procedures are performed by registered medical practitioners (GMC or equivalent) with expertise in hair restoration.

Cancellation Policy:

  1. All cancellations must be received in writing, by email to: info@kslclinic.co.uk
  2. Any treatments cancelled within the 14-day cooling-off period will be subject to an administration charge of £250.00. The remainder of the deposit will be refunded if cancellations are made within 14 days of booking.
  3. Any treatments cancelled after cooling-off period and prior to 30 days pre-surgery will be subject to a 20% charge covered by your non-refundable deposit. This will include deposits taken as part of a finance agreement where the deposit is part of the finance plan chosen and signed for the customer.
  4. Any treatments cancelled less than 14 days ahead of actual surgery will be subject to 100% of the agreed procedure costs to cover Administration and Surgeons/Staff fees.
  5. If procedure/treatment is booked within 30 days from consultation date, the customer will waive the right to a 14-day cooling off period.
  6. For procedures booked more than 30 days in advance, the cooling-off period is reduced so that it ends 30 days before the procedure date. For example, if a procedure is scheduled for 40 days after booking, the cooling-off period will last 10 days.
  7. If a procedure is booked and due to be carried out within a 7-day period from booking and cancelled, it will be treated as the above point (4).

Change of Date Policy:

  1. All changes to surgery dates must be received in writing, by email to: info@kslclinic.co.uk

  2. Any dates changed within the 14-day ‘cooling off’ period will not be subject to charge.

  3. Any dates moved less than 30 days or less ahead of actual surgery will be subject to an administration charge equal to your deposit.

  4. Procedures moved within 14 days of the agreed date will be treated as a cancellation and subject to the above charge mentioned in point 3(d).

  5. If procedure/treatment is booked within 14 days from consultation date, a Cooling-Off Waiver form must be completed and signed.

  6. Procedure dates changed more than once will be subject to a 20% charge covered by your non-refundable deposit.

  7. If a rescheduled procedure date is cancelled within 14 days of the procedure date, point 3(4) will apply. If more than 14 days’ notice is given, then a 20% charge will apply.

Service Promise Policy:

A successful service promise is made to all patients. Should you be unsatisfied with the results of your first procedure and after successful completion of your full treatment plan, KSL Clinic commits to offering you a further treatment to help achieve the agreed result. No financial compensation forms any part of our policy. Patients are required to notify KSL Clinic of any dissatisfaction with their treatment within 24 months from the date of their most recent surgery with us.

Medical Questionnaire:

Your medical questionnaire must be returned within 48 hours of booking your procedure. Once returned, it is your responsibility as the patient to notify KSL of any changes to your medical questionnaire or health straight away. If on the day of surgery we cannot carry out your procedure due to any medical reasons that have not been declared, 50% of the procedure cost will be chargeable.

Aftercare:

KSL Clinic will provide laser treatment as aftercare for your procedure starting 4 weeks after your procedure. You will be asked if you would like to book this treatment on the day of your procedure. It is your responsibility as the patient to book your laser treatment. Laser treatment lasts 30 minutes per session and we recommend you come in weekly for treatment. If you cannot commit to weekly sessions, please speak to your clinic manager or consultant to discuss other options.

Free of Charge Top-up:

If you have any medical conditions that result in potential hair loss/thinning or if you take any medications for said condition that may list alopecia/hair loss as a potential side effect, our guarantee may not be applicable and will be decided by our qualified surgeons and/or consultants upon booking. The medical purpose of treatment will be confirmed and signed on the day of surgery.

Medical Purpose of Treatment:

  1. Procedures at KSL Clinic are carried out to address diagnosed medical conditions such as alopecia or related disorders.
  2. Treatments are intended to restore or support physical and psychological well-being.
  3. Patients are required to review and confirm their consent to treatment at least 14 days prior to surgery.
  4. If treatment is requested within the 14-day cooling-off period, a Cooling-Off Waiver Form must be signed.
